New Changes Coming from MAA Recharge/Cost Centers

Greetings Colleagues,

As we approach the end of this biennium, we have exciting news!

Effective July 1st, the University of Washington will be moving from an annual to biennial rate proposal review methodology for recharge and cost centers. 

MAA is diligently working on updates to websites, and to rate proposal and reporting templates.  UW will also be moving from a quarterly reporting methodology to a semi-annual reporting model.  We will be using a variety of tools to address fund balances on an annual basis. There will be certain circumstances when a center will be required to submit a full proposal in the off years, e.g., addition or cessation of a service and/or product, excessive (+/-) fund balance, a need to make material changes in rates, etc.  Our goal is to reduce the administrative effort associated with these center activities while not compromising Federal, State and/or UW policies and regulations.

Also, in order to address the upcoming changes in the use of the term “cost center (budget number)” as identified by our new Workday HRP system, it was necessary to develop a new naming convention for recharge and cost centers.

As of July 2017, we are implementing the following revised naming conventions:

            Prior to July 2017                  After July 2017

  • Recharge Center      →         Service Center
  • Cost Center              →         Recharge Center

Service centers and service center reserve budgets will be identifiable by budget type 11, program types 20 & 21, respectively. Service centers are qualified by charging $1,000,000 or more in total revenue OR charging $175,000 or more to federal awards per year.

Recharge centers and recharge center reserve budgets will be identifiable by budget type 11, program types 22 & 23, respectively. Recharge centers are qualified by charging less than $1,000,000 in total revenue AND charging less than $175,000 to federal awards per year.

We want to thank all of those individuals who participated in our focus groups.  We thank everyone for your patience, we hope that the changes will help lighten your current administrative load.
