Timesheet for Hourly Employees

Exciting news! An online UW Timesheet will soon be available for hourly employees. Here's a brief overview of how the timesheet will work:

1. The Payroll Coordinator or Timekeeper sets up the timesheet for an hourly employee
2. The employee accesses the UW Timesheet from Employee Self-Service, enters hours worked and submits for approval
3. The approver reviews the UW Timesheet and approves or rejects
4. If approved, the timesheet hours are entered into the PTR by the Payroll Coordinator
5. If rejected, the timesheet is returned to the employee for correction

It's as easy as that!!

The application was recently showcased at Payroll Coordinator Meetings and at Biztech to rave reviews! Additional demonstrations and training sessions are in the process of being scheduled.

For more information contact Cindy Gregovich, (206) 543-8648 or cingreg@u.washington.edu.

New Lodging Prior Approval Requirement

Effective 2/17/06 the Washington State Office of Financial Management in Olympia added a new requirement for claiming an exception to maximum lodging allowances. Anytime it is anticipated an exception may be necessary, prior approval will need to be documented. The simplest documentation method would be to incorporate the exception into blanket approval documents. For grant funded travel, sufficient documentation would include proposals and/or awards where specific trips are listed. Otherwise, prior approval can be documented on a trip by trip basis. Please see Travel's website for full details, or call Teresa Crisostomo at 206-685-9328 (tcris @u.washington.edu).

Enhanced Project Cost Accounting (PCA) Guidelines for ISDs and CTIs

The MyFinancial.desktop Team has initiated a new PCA component to help meet campus' needs for better, more granular information. To help support this project, Financial Accounting has updated the guidelines for CTI and ISD users related to PCA fields to incorporate the expectation that billing departments fill in Task, Option and Project fields upon request from receiving departments.
Updated guidelines for both CTIs and ISDs are now available on the web at:

http://www.washington.edu/admin/finacct/office/ctiisd/ctiguide.htm

http://www.washington.edu/admin/finacct/office/ctiisd/isdguide.htm

Any questions related to these guidelines can be addressed to myfdhelp@u.washington.edu.
