New on UW Connect Finance
We are pleased to announce the new FDM Change Request process, specifically targeting worktags for Activity, Assignee, Program, and Stand-Alone Grants for Shared Environments FDM requestors and approvers. To support a seamless transition, we have developed comprehensive resources to guide you through this new process. Below, you'll find detailed job aids that provide clear, step-by-step instructions on:
- Activating or Inactivating Worktags in Workday
- Change Default Worktag in Workday
- Changing the Hierarchy Level for Worktags in Workday
- Create New Worktag with a Hierarchy
- Rename Existing Worktag
- Demo Recordings and Slides (Demos include reviewing common questions along with reviewing the new processes)
All other FDM requests (i.e., Cost Center) need to go through the current UW Connect submission process. You can also use the UW Connect form to ask questions about the new FDM Change Request process or to log an issue.
Also, there is a new report “FDM Change Requests -- R1601” which can show you the status of any FDM Change Request in this new process — for Activity, Assignee, Program, and Stand-alone Grant FDM requests. You can see if the request is complete or waiting for approval.
Common Questions and Answers About the Process
- Q: What is the expected turnaround time for approval?
- A: For anything that does NOT need Budgeting & Planning Operations (BPO) or Enterprise Business Solutions (EBS) review, is instantaneous in Workday. For worktags that need BPO or EBS review, those will take 2-3 business days. (BPO reviews Program worktags; EBS reviews change default worktags)
- Q: Can I inactivate worktags with funds still showing against that worktag?
- A: No, the unit / shared environment must make sure the net position is zero on a worktag before inactivating it. If you do not do this, the approval will be denied.
- Q: What is the process for FDM requests outside of the ones detailed in the new process (Activity, Assignee, Program, and Stand-alone Grants) – like cost center?
- A: All other FDM requests will still use the UW Connect process.
- Q: Are there any limitations with the new FDM Request process?
- A: Yes, the only combination that does not work in the process flow is renaming an Assignee. Those still need to be submitted through the UW Connect process.
- Q: What if I need to add someone as an Approver or Requesters security roles?
- A: You can submit a UW Connect ticket to the ISC: Workday Security team to request those roles.
- Q: How do I submit issues / questions about this new FDM Request Process?
- A: Please use the existing UW Connect FDM form; and in the comments section state your question / comment about the FDM Request process through Workday.
