Frequently Asked Questions

The following list of questions have been submitted to, or anticipated by, the UWFT program team. If you don't see your question below, please email it to uwftask@uw.edu and we'll add it! 

Q: When will the system(s) go live?

A: The go-live date, scope, schedule and budget will be defined as part of the Readiness and Design activities in 2019.​

Q: Will all aspects of the program go live at once?

A: Yes, a "big bang" approach is currently planned for Core Financials, Procurement, Supply Chain and Post-Awards grants management for UW Medicine and UW Academy, with the budget development process being launched as a close follow-up phase.​

Q: Will the current ISC support Finance Transformation?

A: We are in the early phases of a multi-year program, so it is too early to make this decision. As part of the Readiness and Design activities, the program is working with key stakeholders to vision the future state operating model.

Q: What specific systems (e.g. BGT, My Financial Desktop, etc.) will be replaced as part of UWFT?

A: UWFT has an initial list of systems marked as “candidates” for replacement which includes systems like FAS, BGT, OASIS, MyFinancial Desktop and others. This is being refined as part of our Readiness activities. The list is viewable by accessing our UWFT Change Network site, navigating to “Inventories > System Master” in the top menu. Once you are on the Systems Master, scroll to the right to the field “Replaceable by Workday Finance” and select the drop-down “Filter by.”  Select “Yes.”​​

Q: Is Ariba on the list as a candidate for replacement?  If so is it all aspects of Ariba?

A: Yes, Ariba is a candidate for replacement based on a high level assessment. More detailed analysis is taking place over the readiness phase to validate that categorization for all capabilities.​

Q: What is an Operating Model?

A: An Operating Model is a blueprint and design that connects an organization's strategic vision and business model with its detailed business processes. It answers the question: "What are the fundamental capabilities and competencies and where do they get executed?"  

Q: What is the Change Network, and how do we give new people access to the Change Network site?

A: The Change Network and its SharePoint site have been created to help provide a framework for ongoing end user engagement in the planning, design, configuration, testing and eventual deployment of the University’s new finance system. To request access to the UWFT Change Network site send an email to UWFTask@uw.edu with the following information – contact name, UW​ NetID, role (Administrator, Functional or Technical)​ and unit. The UWFT team will then update the UWFT Change Network SharePoint access groups to add the additional contact. ​
