Overview/Purpose
We have a large footprint with over 5,500 pieces of active content on FPB websites. This can make it difficult to maintain our websites and challenging for users to find the current and correct information on them. Reducing the amount of content we have ensures that you can easily maintain your site, and users can find the information they need.
The primary purpose of our website project is as follows.
- Update any language referring to the legacy UW Finance and OPB organizations.
- Determine if there is training content, policies, procedures, and technical documentation that can be migrated to the UW Connect Finance Portal (UWCF).
- Consolidate and improve the content and files that are needed.
- Retire any pages/content and files that are no longer needed.
- Make the remaining content accessible to comply with the DOJ rule on digital accessibility.
Phases and Timeline
With such a large project it is necessary to break it up into phases so we can keep track of what we are doing and do things in the right order so we are not duplicating steps or updating content that we later determine we are going to archive. Below is a breakdown of the phases, the completion deadline for each phase, and a description of what happens during that phase.
Identify and Categorize - Completion Date - April 30, 2025
During this phase, we reviewed, identified, and categorized what content on your website needed to be archived, migrated to UWCF, and updated.
When reviewing your content, ask yourself the following questions to help you determine if the content is needed.
- Is it accurate?
- Is it up to date?
- Is it relevant?
- Is it redundant?
- Is it accessible?
This work has been completed for most websites.
Archive - Completion Date - May 31, 2025
During this phase, we will work with the site coordinators to archive website content that is no longer needed.
If you answered "no" to any of the questions above, you can probably archive that content. These resources can help you determine what content should and shouldn't be archived.
- Archived Web Content
- Preexisting Conventional Electronic Documents.
- Audio and Video
- Other guidance from the UW ADA office.
Remember the files on your website. These will also need to be deleted, archived, or updated. Visit Records Management to view their retention schedules and see what you can delete and what you should archive.
Migrate - Completion Date - August 31, 2025
During this phase of work, the COS office will partner with you to plan how best to migrate content to the UW Connect Finance Portal (UWCF). This work will include auditing content already on UWCF and adding new content.
The UW Connect Finance Portal (UWCF) is the primary knowledge management site for University of Washington (UW) staff seeking information on finance-related tools, training, technical documentation, and policy and procedures. It serves as the central portal managed by Finance, Planning, and Budgeting (FPB) and ensures content is readily accessible.
To learn about adding content to UWCF you can visit the Content Creator category.
Update - Completion Date - December 31, 2025
During this phase, we will update the content of your respective sites, including accessibility and content updates.
This phase will likely take the longest, as it requires reviewing each page and file to determine whether they are current, accurate, and accessible.
