Documentation for Recertifications

Effort Web Content has moved to PAFC

Effective 1/1/2023, the effort reporting compliance team within Sponsored Programs Finance moved from Management Accounting and Analysis (MAA) to Post Award Fiscal Compliance (PAFC). This encompasses a change in where web content for effort reporting is housed. Moving forward, it will be on PAFC's website (https://finance.uw.edu/pafc/) under the Effort Reporting menu tab. Continual updates will be made throughout the rest of the calendar year (2023) to rebuild web content to reflect new systems and processes.

Supporting Documentation for Recertification

Retroactive adjustments made to salary and/or cost share on previously certified FECs require recertification if they impact percent effort on sponsored agreements. Learn more about when is recertification not necessary.

If recertification is processed online, no supporting documentation is necessary. All post certification salary transfers and post certification cost share commitment changes are captured with an online recertification. 

Recertification of FECs prior to the 9/16/11-3/15/12 cycle for academic reporters and 7/1/11-12/31/11 cycle for the calendar reporters, or recertification of FECs previously recertified on paper is a manual process using departmental copies of previously certified (or recertified) paper FECs.

The list below provides descriptions of appropriate documentation that must be attached to the recertified paper FEC.

Salary Transfers

If salary transfers impact the salary distribution on sponsored agreements for a previously certified FEC and a recertification is required, attach printed copies of the posted salary transfer. This copy should provide clear and complete justifications for why the salary is being transferred.

Retro Payments/Overpayments

For adjustments due to application of retro salary or overpayments, changes in Workday or through Payroll may be required. Attach the following documentation:

  • Overpayments: Overpayment/Repayment Option form with accompanying spreadsheet
  • Retro Pay: Workday screen shot with the start and end date of the cycle 
    Note: if the distribution of the repayment is in the same proportion as the FEC presents, i.e. was credited back to all budgets in the same proportion as it was originally paid, there may not be a need to recertify the FEC.

Cost Share Commitment Adjustments

Coordinate adjustments to cost share pledges with GCA via Grant Tracker. Once the adjustment has posted, take a screen shot of the adjustment within the Cost Share Module and attach it to the revised FEC.

How to Capture a Picture of your Screen using a PC

  • Make sure the window you want to capture is visible
  • Press the "Print Screen" key on your keyboard
  • Open Microsoft Word
  • Go to the Edit menu and choose "Paste"
  • Go to the File Menu and choose "Save"
  • Navigate to the folder where you want to save the Word document
  • Type a file name for the Word document and click the "Save" button

How to Capture a Picture of your Screen using MAC OS X

Any of the following instructions will enable you to capture a screen print.

  • Command-Shift-3: Take a screen shot of the screen and save it as a file on the desktop.
  • Command-Shift-4: Then select and area. Take a screen shot of the area and save it as a file on the desktop.
  • Then space, then click a window. Take a screen shot of the window and save it as a file on the desktop.
  • Command-Control-Shift-3: Take a screen shot of the screen and save it to the clipboard.
  • Command-Control-Shift-4: Then Select and area. Take a screenshot of the area and save it to the clipboard
  • Command-Control-Shift-4: Then space, click the window. Take a screen shot of the window and save it to the clipboard.

In Leopard and later, the following keys can be held down while selecting an area (via Command-Shift-4 or Command-Control-Shift-4):

  • Space: to lock the size of the selected region and instead move it when the mouse moves.
  • Shift: to resize only one edge of the selected region.
  • Option: to resize the selected region with its center as the anchor point.
