Faculty Cost Share
Cost Share is a commitment made by the PI to use resources other than the sponsored program award for completion of the award objectives. Cost Share occurs when a portion of the costs of an Award are not paid by the sponsor, but paid instead using resources within a department, school/college, or other party.
The GCA webpage is the UW’s resource for information on Cost Share.
Types of Faculty Cost Share Commitments
Faculty Effort Cost Share is expended on but not charged as a cost to an Award. Faculty effort can by committed in two ways:
- Dollar-based, where the commitment is made for specific amount of salary; or
- Percentage-based, where the commitment is made for a specific percentage of effort
The Effort Report in ECC displays all salary charged in Workday to cost share award line worktags.
Document Faculty Cost Share
To document faculty cost share, the faculty’s payroll costing allocations must include an allocation of a portion of the salary to the cost share award line Worktags.
By way of example, in the screenshots below, the cost share award line Worktag is GR027998. This is the Worktag that must be used in the payroll allocation to have salary charged to the cost share award line (or via a Payroll Accounting Adjustment). If payroll is not charged to the cost share award line Worktag it will not show up on the Effort and Project Statements with the associated cost share award line. Additionally, the pay will not show up in Workday as cost share.
The first (top) screenshot displays the cost share award line in Workday. The second (bottom) screenshot shows how the cost share award line will appear on the Effort Statement. Click either image to enlarge.
