ECC System Notifications

ECC will automatically generate email notifications at key points during the effort reporting process. Other email notifications are sent manually by the Post Award Fiscal Compliance Team.

Notifications for Effort Coordinators

  • Pre Review Start
    • Audience: Effort Statements - All effort coordinators; Project Statements - Assigned ECC Grant Manager (Account Manager)
    • Notification is sent at the start of the Pre Review Period. (Effort Reporting Schedule)
    • Note: No emails are sent to PIs/Faculty if the statement is in the "Ready for Pre Review" status.
  • Pre Review Reminder
    • Audience: Effort Statements - All Effort Coordinators; Project Statements - Assigned ECC Grant Manager (Account Manager)
    • Notification is sent 30 days before the Statement Due Date (Effort Reporting Schedule)
  • PAR or PPR Tasks
    • Audience: Effort Coordinators
    • Notification is sent if a Payroll Accounting Adjustment is processed in Workday which impacts a previously certified Effort or Project Statement. This will require the effort coordinator to complete a PAR/PPR task (Payroll Adjustment Reconciliation (PAR)/Project Payroll Reconciliation (PPR))

Notifications for Effort Certifiers

  • Certification Start
    • Audience: Certifiers (PIs and Faculty)
    • Notification is automatically sent once the statement status changes to "Ready for Certification"
  • Certification Reminder
    • Audience: PIs and Faculty with statements in a status of "Ready for Certification"
    • Frequency: Email reminders are sent ten, five and zero (10, 5, 0) days prior to the certification due date. (Effort Reporting Schedule)
  • Statement Ready for Re-Certification
    • Audience: Certifiers (PIs and Faculty)
    • Notification is automatically sent once the PAR or PPR tasks are completed in ECC by the Effort Coordinator.

Escalation to Deans

  • Audience: Deans
  • Email communications will be sent to the applicable Deans for statements which are 30, 45, and 60 days past the due date.
  • After 60 days, grant worktags associated with uncertified Project Statements will be placed in “Restricted” status in Workday, preventing any additional spending. The restriction will be removed upon certification of the applicable Project Statements within ECC.
  • Initial notifications will be sent for statements which are already 60 days or more past due and require immediate attention/certification in order to avoid worktag restrictions.
  • Exceptions: Recertifications, APL project statements
