Salary Cap Tools
There are two Excel tools that help support compliance with Salary Caps.
Calculator for Salary Allocations in Workday
- Purpose: This calculator calculates the appropriate percentage effort to enter in Workday for a faculty member whose salary is over the cap.
- When to Use: This calculator is only intended for salary allocations to sponsored awards. For individuals who only receive Regular Salary (REG pay), a calculator is not required. In these cases, Workday will automatically calculate the Salary Cap based on the entered payroll allocation.
- How It Works: Based on the individual’s monthly salary amount for different components (REG, Clinical (UWP & CUMG - which are not factored into Workday's Salary Cap calculation), the inputted committed effort amount for each grant, and whether or not Salary Cap is applicable.

Salary over the Cap (SoC) Verification Tool
- Purpose: The SOC Verification Tool helps to verify the Salary Over the Cap amount shown for each grant is at a compliant level.
- When to Use: Intended for use when conducting the pre review of an effort statement in ECC. There are two situations where this tool should be used:
- A faculty member’s Institutional Base Salary (IBS) is over the cap and there were PAAs completed impacting salary on a grant that applies a cap or
- A faculty member’s IBS is over the cap and there are earnings from Clinical Practice Plan salary sources (paid by UWP/CUMG) on the effort statement.
- How It Works: Calculates the total necessary SOC for each individual grant worktag that applies a Salary Cap and indicates if there are necessary ECC shift in effort and/or PAAs in Workday to bring the amount of SOC to the compliant level.

- Effort Team Focused Topic Office Hours - a recording of the 5/15/25 office hours where PAFC provided an overview of the impacts of removing Administrative Supplements (ADS) and Endowed Supplements (ENS) from Institutional Base Salary (IBS).
- Beginning 7/1/25, ADS and ENS are excluded from the University's definition of IBS (see GIM 35). Use of the Salary Cap Calculator is not needed for individuals that receive only REG pay and an ADS or ENS. To ensure the correct amount of effort is allocated to the award, the REG payroll allocation should be the same as the amount of committed or required effort.
