There are two types of report generators available:

  1. Catalogued Reports - one criteria, all active assets
  2. Ad Hoc Reports - multiple criteria

Note:  Reports will only pull data for your department/security level.


Catalogued Reports

Catalogued Reports will look at all your assets: status A, T and P.

This report function allows you to select one specific type of report, such as user, budget or location.

You can request a specific data set or all items sorted by that type of data.

Process:

  1. Click on the button to select which style of report you want.
  2. Enter your criteria (if any).
  3. You can use wildcards (*) if you wish, e.g., for a specific name use   *JOHNSON*.
  4. Click on “Submit Report Request”.
  5. OASIS will tell you the report has been submitted.

Ad Hoc Reports

Ad Hoc reports allow you to use a multitude of criteria for your selection.

Note: We recommend that you do not use your Enter or Tab key inside Ad Hoc reports (use your mouse) as it can create problems in the data.

Process:

  1. Enter a STATUS (A, T, P, N, D are the options – 'A, T, P' is the most frequently used selection).
  2. Enter the TITLE ('U, A, F' are the most frequently used options – use all three to see a complete listing of inventorial assets)
  3. Select your remaining criteria, such as budget, custodian / user, building & room, etc.
  4. You can use the sorting order boxes for up to three layers. For example:
    • Custodian/user: 1 (A – Z)
    • Building: 2 (each user’s building in alpha order)
    • Room: 3 (each user’s building’s room in order)

      Note: If you are using Org Code as one of your criteria, please make sure to enter a 10-digit org code, or your report won't run properly

  5. Click on “Submit Report Request”.
  6. OASIS will tell you the report has been submitted.

    Note: Ad Hoc Reports also has an 'Old Tag#' search feature which allows to search for an asset under a previous tag number (for example, the tag number it had prior to the 2016-2017 re-tagging project). The search field is at the very bottom of the left-hand column on the Ad Hoc Reports page.


Import and View Your Report

Reports are generated on the quarter hour.  You will receive an email notifying you that your report has been generated.  This email will also contain a text file of your data. 

Warning to Pine Mail Users: Pine mail is unable to open attachments generated by our OASIS system. There is no plan to initiate a fix for this issue at this time.

Process:

  1. Receive your email from OASIS that the report is ready and look for the text file.
  2. Save the text file to your desktop or some other location where it an easily be located.
  3. Follow the instructions for Importing into Excel.

Report Problem Solving

Below are a few of the most common report problems campus customers encounter.

  • Problem: Your report comes up blank.
    • Reason: You forgot to enter the appropriate Status and Title. You will need to rerun the report.
  • Problem: Your report comes up blank.
    • Reason: Your other criteria were entered in a way that confused OASIS, or you entered a 9-digit org code instead of a 10-digit org code. You will need to rerun the report.
  • Problem: Your report comes back huge when it shouldn’t be.
    • Reason: You forgot to enter the appropriate Status and Title. You will need to rerun the report.
