Non-FEC Cost Share Application Access

Access to the Non-FEC Cost Share application requires ASTRA authorizations for two other separate systems: The Cost Share Summary (aka Cost Share Module) and MyFinancial Desktop (MyFD). ASTRA authorizations to both systems are managed within your department by your departmental ASTRA authorizer.

Viewing Contributions by Benefitting Budget

Authorization to view detailed contributions for a benefitting budget requires two ASTRA authorizations.

  • Cost Share Summary authorization with the "Inquiry" action.

AND

  • MyFinancial Desktop (MyFD) authorization with any of the following actions: Inquiry, Expense Transfer, Biennium Close Transfer or Restricted Expense Transfer.

Tagging & Reporting Transactions as Cost Share Contributions

Authorization to tag transactions as cost share requires two separate ASTRA authorizations.

  • Cost Share Summary authorization with the "Inquiry" action.

AND

  • Specific MyFD authorization for the contributing organization code or budget(s) where the transaction is being tagged with any of the following actions: Inquiry, Expense Transfer, Biennium Close Transfer or Restricted Expense Transfer.

Examples:

1) Joan Smith has been granted authorizations for :

  •  the Cost Share Summary application

AND

  •  MyFD Expense Transfer authorization for all of her departmental budgets.

She would be able to tag transactions on her departmental budgets as cost share.

2) Jim Sanders has been granted authorizations for:

  • the Cost Share Summary application

AND

  • MyFD with the Inquiry action for just two campus budgets.

Jim would only be able to tag transactions for those two budgets he had been granted "Inquiry" authorization to in MyFD as cost share.

Jim would, however, be able to view all transactions tagged as cost share for any benefitting budget.
