The New Fred Hutchinson Cancer Center - Some Administrative Information

Fred Hutchinson Cancer Research Center (FHCRC) and Seattle Cancer Care Alliance (SCCA) are merging to form Fred Hutchinson Cancer Center (FHCC), effective April 1, 2022.

If your unit manages an award, subaward, and/or staff assignment from FHCRC, please review information and instructions here to help ensure this transition goes as smoothly as possible.

Current Awards / Incoming Subawards

Termination of Current FHCRC Awards that End After March 31, 2022

All current awards and subawards from Fred Hutchinson Cancer Research Center (FHCRC) that have an end date after March 31st, 2022 will terminate as of March 31st so that a new agreement can be reissued under the new Fred Hutchinson Cancer Center (FHCC) entity, effective April 1, 2022.

All terminations of current FHCRC awards will be handled centrally. The PI/dept. do not need to send separate notifications to OSP.

FHCC Will Reissue Awards After March 31, 2022

FHCC will reissue these awards.The UW PI/dept. will need to submit an After-the-Fact (ATF) eGC1 so the reissued award can be set up in SAGE.

Campus PI/Dept. Instructions for Reissued FHCC Awards:

Proposal documentation is not needed for the newly reissued awards from FHCC. As soon as the UW receives a notice of award for the reissued award:

  1. Campus PI/dept. Must route an ATF eGC1 to OSP and indicate this is a “NEW” Application type.
  2. Make sure to reference the previous budget number within the eGC1.Note: This is not the standard process and a special request under these circumstances.

The timing of the reissued awards will depend on the merger activity. However, note that FHCC intends to provide pre-award spending authority, without the typical 90 day period restriction.

Cancer Center Support Grants (CCSG) that Ended December 31st, 2021

FHCRC has informed us that CCSG Awards which ended December 31st, 2021 can be extended for 3 months. Some of these extensions will also include funding, depending on the program.

Departments may choose to request temporary extensions for the period of January 1st 2022 - March 31st, 2022 while waiting for the supplement/extension. If your Department has already set up an “advance renewal budget” for the extension period, you do not need to reverse that out. Please contact gcahelp@uw.edu and request the advance renewal budget be linked as a sub budget to the budget that ended December 31st, 2021 or prior.

All of the CCSG supplement and extensions will be handled centrally. The PI/dept. do not need to send a separate notification or extension request form to OSP

Outgoing Subawards to FHCRC

All outgoing subawards to FHCRC that extend beyond March 31st, 2022 will be terminated as of that date, and new subawards reissued to FHCC. Details about the process for these actions are being finalized and will follow in a separate communication.

Staff Assignments

Staff Assignments from FHCRC that End After March 31st, 2022

Staff assignments with an end date past March 31st, 2022 will not be reissued under the FHCC name. FHCRC has confirmed these will continue to be effective through the end date on the current staff assignment. Billing/invoicing will be handled per usual processes. When and if they are renewed, submit a “renewal” ATF eGC1.

FHCC As An Entity in UW Systems

Fred Hutchinson Cancer Center has been added as a sponsor to the SAGE sponsor database and has been added as a new subrecipient in our SAGE subrecipient database.
