Action Required: Update Payroll Costing Allocations Due 9/18/23

Greetings colleagues,

We had previously sent a targeted message to units who had a mismatch between the grant’s default worktags and the payroll costing allocation’s worktag.  The correction is necessary to avoid future Payroll Accounting Adjustments (PAAs). While a validation was installed 8/11 that ensures no future instances will occur, it cannot correct existing misallocations.

We have ~400 existing instances of a payroll costing allocation’s worktags not aligning with a grant’s default worktags. Each time payroll posts leveraging incorrect worktags, it can make these expenditures ineligible to bill. These will remain as ineligible until a PAA is performed.

To prevent future instances, the fix is simple: navigate to your costing allocation and remove and re-enter the Grant worktag – this will trigger an automatic update for the relevant related worktags.

Exception: For departments who requested GCA or SAGE to update an incorrectly converted default cost center, and the payroll costing allocation conflict is a result of the delay in this process, no action is required. If your payroll costing allocation is correct and you have not yet requested a cost center update to the grant with GCA or via SAGE, please do so immediately.

Please review the attached list and update the costing allocations for your affected employees no later than Monday, September 18th.

Thank you,

Juan Lepez, Director

Grant & Contract Accounting
