Records Management Best Practices in SharePoint

Records Management Retention in SharePoint Recap:

There is not currently enabled an automated and zero-click solution to record retention in SharePoint. As a result, we rely on users to:

Be aware of their responsibility for managing the records in their SharePoint libraries;

Review and be accustomed to the General Records Retention Schedule (and any applicable Departmental Record Retention Schedule) standards that establish how long to keep their records and when they should be disposed of;

Translate those standards into management strategies to make it easier to delete records when their retention has been met. This can be accomplished by following suggested practices above such as:

  • If using folders/subfolders: Create separate folders based on record status, retention cut-offs, and years associated with them. Visit our resource on best practices for folder structures;
  • If using metadata columns: Create these same types of status fields, cut-offs, and dates into columns to assist in the management of records. Those fields combined with Rules and other notification tools can assist in the records lifecycle.
