TouchNet Event Site Fees

Are you charging an admission fee for attendees?

No: There is a set-up fee of $250, per TouchNet Event Site for free events

Yes: There is no fee to create a TouchNet Event Site if you are charging an admission fee

 

Cvent Usage Fees*

Platform Usage fee: $4 each per registrant, per event**

Attendee Hub/Event App:  $6.50 per registrant, per event

User fee: $125 per user login, per calendar year

  • User login must be tied to a single person and cannot be a shared email account
  • User login fees will auto-renew in January, regardless of when the user was created.  We are not able to pro-rate or automate renewals. 
  • If user access is no longer needed or a staffing transition occurs, email pcihelp@uw.edu to request changes to avoid automatic fees each calendar year. 

** Credit card and ACH fees are not included if you are charging an admission fee. 

 

*Cvent Rates Changes | Effective January 1, 2025

The below pricing will be in effect from January 1, 2025 - June 30, 2026. Beginning in July 2026, annual fee increases will align with the fiscal year instead of the calendar year.  

  • The user role fee has been eliminated. Previously, this $125 fee was charged per calendar year for each UW staff requiring login access to Cvent.  
  • The platform usage fee will increase from $4.00 to $4.25 per registrant, per event
    • The platform usage fee now includes the following: 
      • Unlimited user roles
        • previously billed per calendar year
      • Access Portals Premium
        • previously available for an additional fee
      • Standard features: website, registration, event email campaigns, session level emails, etc. 
  • The Attendee Hub/Event App fee will increase from $6.50 to $7.00 per registrant, per event. This is an optional feature that can be activated per event. 

Social Tables Diagramming

Annual license, per user  - $650 per user login

Interactive floor plan licenses add-on - $3,200 per year. 

Photo Realistic 3-d rendering is a one time fee of $3,200 for the first room; additional 3D rendering is $1,200 per room.

2D Floor Plan Conversion (in square feet):

1-10,000 sq ft $550
10,001 - 25,000 sq ft $1,100
25,001 - 50,000 sq ft $1,600
50,001 - 100,000 sq ft $1,850
100,001 - 200,000 sq ft      $2,100
200,001 - 500,000 sq ft $5,250
