Cvent is a robust event marketing and management platform with a dynamic, robust event online registration system at its core. Merchant Services has negotiated a low, competitive fee on behalf of all units/departments at UW for a centralized event registration system.
The UW has two contracted instances of Cvent in use.
- The first instance is managed and overseen by University Advancement (UA) specially for UA related events.
- They have a matrix developed to determine if an event is eligible to fall within their instance of Cvent.
- Primarily their instance is restricted to use for events where the primary audience attending is alumni, donors and external stakeholders. If you event meets the eligibility requirements, it can be created in the UA instance of Cvent.
- There are no fees charged to units for use of the UA Cvent instance - UA centrally covers the use of the platform for all eligible events (hence the matrix to qualify).
- UA also have their own training requirements for using their instance of Cvent.
- For access and training to that instance, please email advhelp@uw.edu.
- The second is managed and overseen by the Office of Merchant Services (OMS) and is intended for everything that falls outside the UA eligibility. It is available for use to all faculty & staff, enterprise-wide.
- This typically includes conferences, continuing education, trainings, seminars, etc.
- There are usage fees for use charged directly to each department, based on the exact number used. There is no pre-purchase or commitment required.
