Mazévo @ UW FAQ

Our department currently uses EMS and we will be migrating to Mazévo.  What is the timeline and process for doing that? 

Plan on the migration process taking 8-10 weeks.  Please note the $3,000 project fee above.  This cost is from Mazévo with no internal overhead added.  The migration will occur in two phases over this time period:

Phase 1 | Testing

  1. Migration into a test Mazévo tenant
  2. Your team will have a 30 day period to work in the test Mazévo tenant, learn the tool, make customizations, etc. 
  3. Mazévo will host a strategy call for production migration with your team

 

Phase 2 | Live Migration

  1. Select date for migration
    1. This will occur on one business day when your team will have no access to EMS or Mazévo
  2. Next day live in Mazévo tenant; EMS is no longer in use

 

Our department is not migrating from EMS; what will our implementation timeline be? 

Most departments are live on Mazévo in 8-10 weeks or less. The time it takes to get up and running is based on a few factors:

  • The amount of data you are putting into Mazévo
    • Mazévo can import most of your data (contacts, buildings, rooms, resources, bookings) from text files if you can extract it from your current system. Importing the data can speed up the process vs. manually entering if your data is relatively clean.
  • The complexity of your operations
  • Event volume, services provided, rentals/internal chargebacks
  • The number of stakeholders impacted by the switch
  • The decision to invest the time to do a sandbox trial to get familiar with the system

 

What support will we have moving to Mazévo? 

The set-up fee includes unlimited training sessions with the Mazévo team in the first 90 days after implementation. Mazévo will tailor the training sessions based on your business needs and goals for the project. This cost is from Mazévo with no internal overhead added.

 

Our venue hosts a lot of internal department events. Can we bill for ISD’s through Mazévo?

We are currently working to streamline the ISD process. At this time, Mazévo is not planned to integrate with Workday directly. 

 

Our college has multiple buildings that we manage. Do we need more than one tenant? 

No, there is no limit to the number of buildings or rooms within a tenant.  You will log-in to one tenant in Mazévo to see all the buildings and rooms your team manages. 

 

Do we need to submit our own purchase order or contract to procurement? 

No, OMS owns the enterprise-wide contract so the necessary riders, terms and conditions are already signed.  OMS will bill your unit for the package, rooms and migration fees internally.  You will not be paying Mazévo directly.
