Event Registration Options

Overview

  • Our team manages two University approved options, TouchNet and Cvent, for accepting event/meeting registration admission fees.

Which Event Type Works Best for Me?

  • TouchNet can provide registration for free and simple fee-based events.
  • Cvent is the preferred choice for complex events which can include event management, mobile apps, email marketing, and web surveys.

Features that both TouchNet and Cvent include: processing revenue from event registration fees, custom questions during registration process, automatically send email receipt, create simple event webpage, registration and financial reports. The additional features that only Cvent provides are: sending customized reminder and follow-up emails, creating multiple pages within event website and optional feature to host virtual events.

*Note: All credit cards processed are subject to UW Merchant and credit card fees.  TouchNet can process free events for a small setup fee.

Revenue Options

If you are charging a registration fee, there are two options to accept revenue:

Option 1 | Receive revenue directly to your UW cost center

  • Both TouchNet & Cvent are integrated with Workday through a Merchant ID Number (MID). Each MID has a 1:1 correlation to a single UW cost center/worktags.
  • Revenue will flow directly to your UW cost center; fees associated with accepting credit cards will be deducted from the same cost center.
  • Fill out  Merchant Account Application and allow us up to four weeks for final approval

 

Option 2 | No MID, No Problem

  • If you do not have a MID currently established, our team can help.  Revenue can be processed through a passthrough MID that is owned and managed by our team (OMS). The fee to use the passthrough MID is 20% of total revenue received for your event.
